Confidential student record data is stored on offsite servers which are protected by a D-Link firewall O/S firewalls and are backed up remotely to a secondary data center each night. Data servers are patched on a monthly maintenance cycle and are protected by Sophos anti-virus. Student Records hard document long-term storage is managed by Iron Mountain and stored offsite, with relevant material transferred weekly to the Iron Mountain storage facility. The School’s Information Technology staff performs a yearly audit as part of the Annual Review to ensure that current and past electronic data are retrievable using currently available hardware and software. In the case of hardware or software upgrades or where past media are becoming obsolete, measures will be taken to reformat the data so that it remains accessible to the Registrar and, therefore, available to the student for 75 years.
