Position title:    Student Services Representative

Location:           Toronto, Ontario

Status:               Permanent, up to 37.5 hours per week, Saturday–Wednesday, 8:30 a.m. to 4:30 p.m.

About the organization

Established in 2000, ADLER Graduate Professional School Inc. (“ADLER” or the “School”) was founded on the desire to offer academic programs and degrees that prepare students for mental health and well-being professions. We offer a Master of Psychology degree, an ICF-approved Coach training Certificate, and Continuing Education programs. We apply a hands-on approach in all our courses and programs. To this end, all ADLER instructors are practitioners who bring their professional experience into the classroom. Our objective is to help students secure suitable employment and assist them in developing further in positions they hold. 

About the position

The Student Services Representative supports the organization by performing a range of customer service and administrative tasks, applying a customer service mindset to all interactions with students, staff, faculty, and visitors. Responsibilities include administering databases, admissions, and programs; scheduling and communications; answering and forwarding calls at the front desk and responding to inquiries from prospective and current students; relaying information to coworkers; receiving and mailing letters and packages; data entry; formatting, printing, and binding materials; scheduling meetings; filing documents; maintaining cleanliness of the front desk and premises; and handling additional duties as assigned. Key Responsibilities

  • Operate switchboard at front desk and forward inquiries as needed
  • Welcome customers and visitors, and announce visitors to staff members
  • Collaborate with coworkers and apply customer service mindset to all interactions
  • Ensure that documentation is accessible, traceable, and accurate
  • Address student inquiries and set up user profiles for new students
  • Write course descriptions and maintain course descriptions on website
  • Address student inquiries and set up user profiles for new students
  • Correspond with course instructors to update them on upcoming courses, send attendance sheets, and log attendance
  • Ensure that course materials are available for instructors and students
  • Enter data into various systems (Excel, Salesforce, Google calendar, ADLearn)
  • Keep lobby, kitchen, classrooms, and washroom tidy and runs dishwasher
  • Keep office and kitchen inventory stocked and orders supplies as needed
  • Prepare classrooms by setting up signs, furniture, laptops, TVs, and DVDs, and closing rooms after classes
  • Maintain strict confidentiality and security of staff and student information

Qualifications and Skills

  • High school diploma or equivalent
  • At least 1 year of customer-focused experience, with track record of success
  • Available 37.5 hours per week, typically working 8:30 a.m. to 4:30 p.m., Wednesday through Sunday (off on Monday and Tuesday)
  • Pleasant telephone manner and sense of etiquette
  • Excellent interpersonal, presentation, and written communication skills
  • Strong technical skills in Google Suite (Doc, Sheets, Calendar) Microsoft Office (Word, Excel, PowerPoint), and video conferencing software (Zoom)
  • Experience with administration of LMS, preferably Moodle
  • Ability to connect with people from all backgrounds and degrees of experience
  • Strong time management skills (ability to prioritize)
  • Strong manual dexterity for operating desktop computer and peripherals
  • Ability to lift and move 10–25lbs
